Role Summary
As a Purchasing Assistant, you will play a hands-on role in daily procurement operations and help ensure that materials, services, and equipment are bought correctly and on time for kavachX’s business needs. This is a full-time, in-office position in Ludhiana. The job involves preparing and handling purchase orders, following up on deliveries, maintaining supplier information, coordinating with internal teams, and supporting sourcing and negotiation activities while staying aligned with company procedures.
What You Will Do
- Support routine purchasing activities and keep procurement workflows running smoothly.
- Create, review, and process purchase orders with accuracy.
- Track deliveries and follow up on pending or delayed orders.
- Maintain organized vendor records and procurement documentation.
- Coordinate with internal departments to understand material and service requirements.
- Communicate with suppliers to request quotations and compare pricing options.
- Assist in discussing terms and securing commercially favorable deals within policy limits.
- Monitor stock levels and help flag inventory shortages or reorder needs.
- Resolve purchase-related issues and support timely closure of open orders.
- Keep records ready for audits, reporting, and internal reviews.
- Work closely with finance, operations, and technical teams to keep purchasing efficient.
Required Qualifications
- Good understanding of purchasing fundamentals and standard procurement procedures.
- Hands-on ability to prepare, check, and manage purchase orders accurately.
- Familiarity with vendor coordination, sourcing basics, and procurement practices.
- Clear and professional communication skills for dealing with internal teams and suppliers.
- Strong attention to detail, especially with figures, records, and documentation.
- Comfort using spreadsheets or procurement-related software tools.
- Ability to manage multiple tasks and meet deadlines in a busy work setting.
- Previous exposure to purchasing, procurement, or supply chain support is preferred.
- A diploma or bachelor’s degree in business, commerce, supply chain, or a related area is beneficial.
