Overview
ICF is hiring a Project Coordinator to support the PSA Audit Project, which serves the Office of Refugee Resettlement under the Administration for Children and Families, U.S. Department of Health and Human Services. In this role, you will help keep the project organized through deliverable tracking, administrative coordination, research support, information synthesis, meeting logistics, and process development. The ideal candidate is highly self-driven, works well without close supervision, and brings strong organization skills along with the ability to gather, organize, and interpret information effectively.
This position is expected to continue only through October 2026. The role is fully remote, though occasional travel to client locations or ICF offices may be required and is expected to be limited.
Responsibilities
- Create and update operational tracking logs and reports in tools such as Excel and Smartsheet, keeping records accurate, timely, and ready for audit review.
- Coordinate, organize, and process consultant-related documentation and paperwork.
- Oversee the project inbox and handle incoming correspondence.
- Prepare travel authorization requests and related cost details while ensuring they are complete, correct, and aligned with internal rules and budget limits.
- Maintain shared document spaces in SharePoint and Teams, including folder organization, permissions, uploads, secure access links, and version control.
- Examine, organize, and synthesize audit documents and supporting files to help assess compliance with federal requirements.
- Use Excel and Microsoft PowerApps to build client-facing audit reports.
- Perform quality checks on reports before they are sent for client review and approval.
- Partner with project team members to build schedules and timelines and monitor progress so deliverables are completed on time.
- Assist research and evaluation work by supporting analysis, responding to client information requests, and helping with related tasks.
- Support project operations by helping ensure deliverables are processed on time and by identifying opportunities to improve efficiency.
- Document standard operating procedures, refine workflows, and suggest process improvements that strengthen efficiency and compliance.
- Help onboard new team members and support training on tools and standard operating practices.
- Assist in reviewing and consolidating data for monthly and other required reporting cycles.
- Provide daily operational assistance, including virtual platform support, meeting scheduling, and note-taking.
- Carry out other duties as assigned by project leadership.
Requirements
- A bachelor’s degree from an accredited institution is required; an associate degree plus 3 years of relevant experience may be accepted in place of the bachelor’s degree.
- Experience or comfort with research, information gathering, and data synthesis.
- Strong organizational ability and the capacity to manage multiple tasks, deadlines, and stakeholders.
- Clear writing and communication skills, with the ability to present ideas briefly and effectively.
- Ability to adapt quickly, prioritize effectively, and maintain quality in a fast-moving environment.
- Capability to work independently, collaborate with a team, and take initiative when needed.
- Preferred: a bachelor’s degree in social work or another human services-related field.
- Preferred: familiarity with Smartsheet and Power BI.
- Preferred: prior experience working on a government contract.
- Preferred: basic research or data analysis experience.
- Preferred: working knowledge of Microsoft Office applications, Teams, and SharePoint.
