Role overview
An established international investment management firm in Dubai International Financial Centre (DIFC) is looking for an experienced Office Administration Manager to run the Dubai office smoothly on a day-to-day basis. The role supports a highly regulated financial services setting and is responsible for keeping office operations professional, efficient and aligned with strong governance and client service standards.
This position covers a wide range of responsibilities across administration, facilities, vendor coordination, corporate services and executive support. The ideal candidate will be proactive, exceptionally organised and comfortable working closely with senior leaders in a fast-moving environment.
What the role involves
- Oversee daily administrative activity for the DIFC office and ensure all support functions run effectively.
- Improve office processes, policies and procedures to strengthen efficiency and consistency.
- Guide, coach and develop the office administration team, including task allocation and performance follow-up.
- Work with senior management to help deliver business priorities and wider organisational projects.
- Handle relationships with landlords, building management teams, suppliers and external service partners.
- Take ownership of facilities management, maintenance, security, health and safety, and business continuity planning.
- Manage office spending, procurement activity and supplier agreements with an emphasis on value and control.
- Arrange travel, company events, board meetings and client hospitality requirements.
- Partner with HR and IT on staff onboarding and exit processes.
- Make sure office practices follow internal policies and DIFC regulatory expectations.
- Keep office records, agreements and documentation accurate and up to date.
- Continuously improve the office environment while maintaining a high-quality workplace experience.
Candidate profile
The employer is seeking someone with hands-on experience in office administration, corporate services or office management in sectors such as investment management, asset management, private equity, banking, financial services or other professional services environments. Experience in a DIFC-regulated organisation is a strong advantage.
