Role overview

Equans is hiring a Facilities Management Scheduler for a permanent, full-time position at Broomfield Hospital in Chelmsford. The position is onsite and requires 40 hours of work each week. A competitive salary, overtime pay, and a benefits package are included.

What the role involves

You will be responsible for planning and coordinating Planned Works so they are completed within SLA timeframes, arranging follow-on tasks, and supporting other on-site operational needs. The role reports to the Senior Operations Manager. A key part of the job is keeping CAFM systems properly configured, maintained, and useful for the team, while ensuring staff are trained to use them effectively.

You will also make sure the necessary records are issued, returned, and retained for audit and compliance, and that reporting remains accurate, collaborative, and dependable. Another core responsibility is monitoring PPMs, follow-on work, and reactive jobs so they are completed within contractual SLAs, with issues escalated promptly to help avoid deductions.

Key duties

  • Build and maintain productive working relationships with CAFM users and other colleagues to support reporting needs.
  • Track PPM and reactive work to ensure delivery within SLA targets.
  • Manage the shift rota and keep it updated for leave and absence.
  • Prepare labour analysis information for senior leadership.
  • Review PPM plans and highlight any inconsistencies or gaps.
  • Carry out ad hoc data analysis and report on important CAFM information.
  • Produce and maintain contract-specific system documents.
  • Create and update PPM paperwork needed for audit and compliance.
  • Maintain master tables, generate PPM schedules, and publish reports for users.
  • Assist the CAFM Manager with asset and PPM data maintenance.
  • Act as a CAFM super-user and support PDA software deployment and device management.
  • Cover site administration duties when needed, including coordinating subcontractor attendance for PPM and reactive work and collecting completion paperwork.
  • Raise and manage purchase orders.
  • Provide cover for the department when required.
  • Work cooperatively with colleagues, representatives, and facilities users to deliver a customer-focused service and support service goals.
