About the Company
Poppin Parties is a Houston-based corporate event production company that handles the full process in-house, from initial concept all the way through cleanup. The team produces premium events such as holiday galas, brand activations, product launches, and milestone celebrations designed to leave a lasting impression.
The company is expanding and is looking for people who can uphold its standards at every event, even when the core team is not physically present.
About the Role
The company is hiring a part-time, as-needed Event Execution Manager. This position is focused on delivery rather than planning. By the time you arrive, the event direction, vendor lineup, and schedule will already be finalized. Your responsibility is to take ownership on site and ensure the event is executed exactly as intended: on schedule, on brand, and without interruptions reaching the client.
You will act as the primary on-site lead, directing the team, keeping vendors on task, protecting the timeline, and handling issues discreetly before they affect the guest experience.
What You’ll Do Before the Event
- Join selected venue walk-throughs so you understand the space ahead of event day.
- Participate in Zoom alignment meetings with the planning team to review the run-of-show, vendor coordination, and final decisions.
- Review the master timeline and floor plan thoroughly so you can execute with confidence.
What You’ll Do on Event Day
- Act as the main contact for vendors, venue personnel, and the on-site crew.
- Lead the timeline from load-in to strike, and get the schedule back on track if anything begins to slip.
- Assign tasks clearly, keep the team focused, and ensure everyone stays accountable to the plan.
- Spot and resolve problems early so they do not affect the client experience.
- Confirm that all setup details match the Poppin Parties standard.
What You’ll Do After the Event
- Supervise the full strike and load-out process.
- Provide a detailed post-event debrief to the planning team, including notes on vendors, timing, and team performance.
Who This Role Fits Best
This role is best suited to someone who has worked in event operations or managed on-site teams in fast-moving environments. You should be comfortable taking charge, giving direction, correcting course when needed, and keeping people accountable in a professional way. A strong respect for timing is important, along with the ability to stay calm, adapt quickly, and execute someone else’s vision with care.
Availability for events is mainly required on evenings and weekends, with some weekday events as well.
