Role Overview
Wine Enthusiast is hiring an Events Coordinator to support the planning and delivery of experiential events and activations across hospitality, beverage, and media. The position centers on coordinating in-person events in the New York area and across the United States, including the Sip event series and the annual Wine Star Awards Gala.
This role is best suited to someone who is highly organized, adaptable, comfortable working across multiple projects, and confident communicating with internal teams, vendors, clients, and partners. Because the role is hybrid and event-driven, strong coordination, follow-through, and responsiveness are essential.
What You Will Do
- Partner with internal teams and outside vendors to plan and deliver a range of events such as wine tastings, panels, sponsored activations, and the annual gala.
- Support administrative event tasks from initial planning through completion, including venue and vendor sourcing, contract coordination, event asset preparation, expense tracking, and vendor payments.
- Assist with on-site event execution, including load-in, setup, guest registration, signage, promotional material distribution, vendor coordination, and breakdown.
- Maintain professional communication with clients, internal colleagues, and event partners.
- Research possible venues and vendors and handle early outreach based on event needs and budget.
- Own guest communication, outreach, and registration management throughout the event cycle.
- Support event promotion efforts by working with Marketing and Social Media on email, SMS, and social content.
- Coordinate with Design or freelance designers on digital, print, and promotional event materials.
- Work with the Tasting team and warehouse to manage wine, spirits, and supply deliveries, collect product details for event collateral, and coordinate venue drop-offs and onsite distribution.
- Create timelines and deadlines for assets and deliverables so internal teams, vendors, and external partners stay aligned.
- Keep project-management tools and event tracking documents updated in real time.
- Collaborate closely with Video, Public Relations, Client Success, and Sales teams during planning and execution.
- Help ensure a polished and welcoming guest experience at every event.
- Support post-event wrap-up, including feedback collection, reporting, and metric gathering from other departments.
Qualifications
- A bachelor’s degree in communications, marketing, events, or a related discipline is preferred.
- At least 2-4+ years of experience in event operations, event planning, or hospitality.
- Professional, composed, and comfortable working in a team environment.
- Strong attention to detail and solid time-management abilities.
- Capable of organizing priorities efficiently and meeting deadlines.
- Open to feedback, willing to learn from mistakes, and able to offer constructive input on improving workflows and guest experiences.
- Prepared to handle all event-related tasks, including hands-on work when needed.
- Driven to go the extra step to help ensure event success.
- Excellent verbal, written, and interpersonal communication skills.
- Experience with Google Workspace, Monday.com, Slack, Eventbrite, Zoom, Google Meet, and email marketing tools such as Dotdigital is preferred.
- Background in wine and spirits or media is a plus.
Work Schedule and Location
This is a flexible hybrid role based in Valhalla, NY. Employees must work onsite two days each week, with Tuesday required in the office and one additional day chosen by the employee. The role also involves venue walkthroughs and attendance at events.
Evening and weekend availability is required as needed based on the events calendar. Domestic or international travel of 1-3+ times per year is also part of the position.
