About the Role
The Office Operations team is responsible for keeping the firm’s workplaces running smoothly every day. It oversees office infrastructure, systems, and services across both local and global locations, including on-site and remote operational support, safety, security, and related functions. The team also handles PA support, document production, translation, and travel services, while making sure client-facing spaces create an excellent experience. Environmental sustainability is also a key part of how the team manages daily operations.
The Office Services Assistant helps maintain an efficient, tidy, and compliant office environment by providing office services, facilities support, and administrative assistance. The role supports lawyers, business services teams, and visitors through prompt, professional service and contributes to strong workplace standards and operational performance.
Office Services and Facilities Support
- Help keep meeting rooms, shared areas, and workstations in good condition and ready for use.
- Track office supplies, stationery, pantry items, and other consumables, and assist with restocking and inventory control.
- Respond to facilities-related requests, minor issues, and follow-ups with building management or contractors.
- Assist with office relocations, desk or seating changes, and internal workspace reconfiguration when needed.
- Support the onboarding of new joiners.
Mail, Deliveries, and Logistics
- Arrange outgoing parcels and courier bookings.
- Support the daily coordination of service providers such as cleaning, maintenance, and courier vendors.
- Check that service standards are being met and raise concerns with the Office Operations Manager when necessary.
- Help manage contractor access, landlord maintenance coordination, and related supervision where required.
Health, Safety, and Compliance Support
- Assist in following health and safety procedures as well as office policies.
- Help keep records for facilities, maintenance, and inspections up to date.
- Report safety concerns, incidents, and hazards quickly.
Administrative and Operational Support
- Assist with office events, internal meetings, and firm-wide initiatives.
- Provide occasional support to other business services teams as needed.
Vendor and Contractor Support
- Support the daily handling of vendors such as cleaning, maintenance, and courier service providers.
- Monitor whether service levels are being maintained and escalate issues to the Office Operations Manager.
- Assist with contractor access, landlord maintenance matters, and supervision as required.
Location, Schedule, and Reporting
This position is located in the Riyadh office. It is a full-time, on-site role with working days from Sunday to Thursday and standard hours from 9:00 am to 6:00 pm. The role reports to the Office Operations Manager in Riyadh.
Qualifications and Skills
Experience in an Office Services Assistant position, or a similar role, is preferred. The ideal candidate should be highly organized, detail-focused, professional, service-oriented, and able to manage priorities in a busy environment. Strong communication, interpersonal, and time-management skills are important, along with the ability to follow procedures and escalate issues appropriately. A dependable, proactive, and collaborative attitude is also essential.
