About the Role

Joining the Sales Team as a Transaction & Closing Coordinator, you will support the process overseen by the Transaction & Closing Manager. Collaborating closely with the VP of Sales and Marketing, Regional Sales Managers, and Community Managers, this role demands diligence, meticulousness, urgency, and effective communication with buyers, real estate agents, lenders, appraisers, and project managers.

Key Responsibilities

  • Review and manage incoming contracts from the sales department.
  • Accurately enter sales information into the company database to facilitate timely reporting.
  • Upload listings to the Multiple Listing Service (MLS).
  • Generate, analyze, and provide frequent reports to leadership.
  • Maintain contact with Realtors, buyers, appraisers, lenders, and project managers throughout contracts.
  • Organize digital contract and listing files.
  • Draft and process contract amendments and change orders.
  • Assist Regional Sales Managers by coordinating with Community Managers on processes and communications.
  • Collaborate daily with Community Managers to ensure all necessary documents are signed and distributed properly.
  • Work closely with lenders to deliver executed amendments and update on construction progress.
  • Provide appraisers with accurate documentation to reflect all upgrades and features for proper valuation.
  • Manage execution and secure payments for change orders and amendments.
  • Ensure all contracts and related documents comply with internal protocols.
  • Review and finalize change orders promptly.
  • Coordinate with the title company prior to closings to guarantee accuracy of final documents, prices, deposits, change orders, and closing timelines.
  • Collaborate across departments to meet role objectives.
  • Perform additional duties as assigned.

Ideal Candidate Profile

  • Experience in real estate contract processing is preferred, but not mandatory.
  • Background in lending, real estate, or similar contract handling roles.
  • Exceptional organizational and proactive work habits.
  • Strong attention to detail and adherence to processes.
  • Excellent communication skills across verbal, written, and phone interactions.
  • Competency in analyzing data to support decision-making.
