Job description
About the Role
The Institute of Eye Surgery is a nationwide private eye-care network in Ireland, providing specialist services across a broad range of treatments such as cataract surgery, vitreoretinal procedures, laser vision correction, and glaucoma care, along with an urgent-access eye service.
As the organisation continues to expand, it is hiring a Trainee Medical Administrator to help ensure the day-to-day smooth operation of the clinic. This is an entry-level opportunity with structured training and a defined route toward progression into a fully qualified Senior Medical Administrator role.
Key Duties
- Handle a busy flow of patient and general telephone enquiries, working under supervision.
- Keep patient care at the centre of daily work and contribute to improving the overall patient experience.
- Help coordinate clinic appointment scheduling.
- Build skills in preparing insurance billing paperwork and invoices.
- Enter and maintain patient and appointment information in the practice management system.
- Carry out accurate basic data entry and escalate issues when needed.
- Prepare straightforward written messages for patients and clinicians with guidance.
- Follow strict administrative procedures and internal protocols.
- Help ensure patients receive a high standard of service before and after consultations.
- Assist with wider administrative work allocated by senior team members.
- Take on occasional additional tasks as directed by senior staff.
Requirements
The ideal candidate will have a Leaving Certificate or an equivalent qualification. No previous experience in medical administration is needed, though experience in an office, reception, or customer service environment is helpful.
You should be quick to learn, comfortable working in a busy environment, and able to communicate clearly both verbally and in writing. Strong organisation, accuracy, and attention to detail are important, as is the ability to work on your own and collaboratively within a team.
This role also requires a willingness to complete a structured training programme and meet development milestones. Good working knowledge of Microsoft Excel, Outlook, and Word is expected.
Benefits
- Recognition through an Employee of the Month programme.
- Seasonal social events at Christmas and during the summer.
- Role-relevant training and development support.
- A supportive, team-oriented workplace.
- Opportunities to grow with the business as it expands.
- Bike to work scheme.
- Attendance bonus.
