Role overview
This position supports the studio team with administration and helps keep the design studio running smoothly from day to day.
Core duties
- Assist the studio team across all areas of studio coordination, including diary management, linking departments, and improving communication across the wider business.
- Arrange and join regular team meetings, record action points, and follow through on agreed tasks.
- Prepare detailed travel itineraries for the design team.
- Help coordinate communication with senior external contacts.
- Gather expense claims and submit them for payment.
- Work with the office team to ensure the studio is ready and properly equipped for the studio team.
- Provide day-to-day support on ad hoc studio tasks.
- Prepare the Creative Director’s workspace or private office ahead of meetings.
Scheduling and organisation
- Coordinate the fitting timetable.
- Support the design team with preparation for major milestones such as board presentations, collection reviews, and sketch-to-fabric stages.
- Attend monthly calendar meetings with the studio team to align all departments.
- Coordinate with the stylist’s agent on a weekly basis, or whenever updates are required.
Looks, shoots and runway support
- Assist the studio team with model bookings.
- Support the studio and image/press teams in coordinating pre-show planning, including hair, make-up, music, and casting agents.
- Help organise the studio schedule and work closely with designers, product developers, merchandising, sales, and other relevant teams.
- Keep communication flowing between design, studio, and all other business areas.
- Collect, organise, and share seasonal documents for filing and intellectual property purposes.
- Manage scheduling for the stylist.
- Liaise with the brand image and communications teams to ensure coordination remains seamless.
- Coordinate pre-show planning, including hair, make-up, music, and casting-related arrangements.
Profile requirements
The ideal candidate has prior experience in a studio coordinator position. They should be comfortable using both Mac and PC systems, highly competent with MS Office, and able to communicate clearly in writing and verbally with strong grammar and spelling. The role requires someone who can work independently, adapt easily to changing business needs, maintain consistently high standards, pay close attention to detail, and handle sensitive information with discretion and empathy.
