Job description

Position overview

The Store Officer is responsible for keeping inventory records accurate, tracking stock availability, and making sure supplies are issued on time to support patient care and day-to-day hospital activity. The role includes maintaining stock data, handling requisition requests, and following all applicable regulatory and quality requirements. This position reports to the Stock Controller.

Key duties

  • Accept incoming deliveries of laboratory diagnostic items, medical consumables, and stationery, then inspect them to confirm they match specifications and quality expectations.
  • Update and maintain stock records through electronic inventory tools or manual registers.
  • Track stock movement, minimum levels, and expiry timelines, and raise replenishment or procurement requests when items need restocking.
  • Keep items neatly arranged in the Bulk Store with correct labels, product grouping, and suitable storage conditions.
  • Apply FIFO and FEFO methods to reduce wastage and protect the condition of items with limited shelf life.
  • Process supply requests from hospital departments, clinics, and units quickly and accurately, with proper documentation for every issue made.
  • Carry out routine stock checks, cycle counts, and full physical counts to identify differences and keep inventory balances correct.
  • Ensure storage rules, temperature controls, and safety procedures are followed when handling pharmaceuticals, medical equipment, and hazardous items.
  • Work with the procurement specialist and suppliers on ordering, delivery coordination, and invoice matching.

Quality and compliance

  • Inspect goods for damage, tampering, or contamination, and isolate or reject anything that fails quality checks.
  • Use safe handling methods and keep incompatible products separated to avoid cross-contamination, spoilage, or deterioration.
  • Monitor expiry dates and product life closely, rotating stock and disposing of outdated or obsolete items according to procedure.
  • Follow recall procedures and communication steps so recalled products can be recovered, replaced, or disposed of promptly and safely.
  • Keep detailed records of inventory transactions, stock usage, and movement trends, and prepare summaries or reports for hospital management and regulators when needed.
  • Take part in emergency drills and preparedness exercises to maintain readiness for supply management during disruptions, disasters, or urgent situations.

Qualifications and experience

The suitable candidate should hold an HND in Supply Chain, Finance, Business Administration, or a related discipline. Prior work as a storekeeper, inventory clerk, or in a comparable position is required, ideally within a healthcare or pharmaceutical environment. A strong understanding of stock control, inventory procedures, and regulatory rules for medicines and medical supplies is important. Experience using electronic inventory systems, barcode scanners, and computer-based record tools is also expected.

Additional requirements

The role calls for close attention to detail, strong organization, and accuracy in data entry and record maintenance. Good communication, teamwork, and customer service skills are necessary. The person should also be able to work with limited supervision, manage priorities effectively, and remain productive in a busy setting.
