Role purpose
This position supports the management of fuel and lubricant operations, fuel infrastructure assets, and related commercial activities across the mine site. It works closely with the Fuel Controller to maintain reliable inventory control, accurate reconciliations, consumption tracking, quality assurance, maintenance planning, and regulatory adherence.
The role also relies heavily on Pronto ERP/CMMS to maintain operational records, coordinate maintenance and project work, monitor performance, and assist with budgeting and cost control.
Key responsibilities
- Match fuel receipts in the ERP system with supplier delivery notes and invoices.
- Keep inventory records for fuel and lubricants accurate across all storage locations.
- Check diesel and lubricant transactions before they are posted into the ERP.
- Review daily stock activity, including receipts, issues, and transfers between depots.
- Ensure all fuel and lubricant usage is captured correctly and assigned to the right cost centres.
- Monitor consumption by machine, department, contractor, and operating area.
- Study fuel usage patterns and flag irregularities or improvement opportunities.
- Work with mining teams to estimate fuel demand and consumption trends.
- Track fuel-related expenditure and assist with budgets, forecasts, and cost reviews.
- Handle queries from payroll, contractors, and managers about fuel use and invoicing.
- Arrange fuel sampling and testing activities when required.
- Oversee fuel filtration systems and ensure filters are replaced according to approved maintenance plans.
- Look into any contamination or quality issues and report findings.
- Apply company procedures, fuel management rules, and legal requirements consistently.
- Enforce SI 55 compliance by making sure all dispensing meters are calibrated within the required statutory timelines.
- Keep records ready to support both internal and external audits.
- Provide reconciliation, inventory, and consumption records during audits and inspections.
- Supervise contractors working in the fuel management area.
- Coordinate and track fuel-related projects and service providers.
- Prepare purchase requisitions for fuel services, maintenance work, and capital projects.
- Monitor contractor delivery to ensure work is safe and meets required standards.
- Create and manage preventive and corrective maintenance plans for fuel infrastructure assets using Pronto CMMS.
- Maintain asset registers, hierarchies, maintenance schedules, and work order histories in the CMMS.
- Coordinate maintenance with operations, contractors, and project teams to protect asset availability and reliability.
- Track work order progress, completion performance, and backlog levels.
- Identify critical spare parts, long-lead items, and resourcing needs for fuel infrastructure assets.
Requirements
- Three to five years of experience in fuel management, mining operations, senior maintenance planning, or a similar discipline.
- Strong capability in data analysis tools, especially Power BI, together with advanced Microsoft Excel skills.
- Hands-on experience with ERP systems, with Pronto preferred.
- Exposure to fuel management systems and bulk fuel storage operations.
- Sound knowledge of administrative practices and people management.
- Working knowledge of fuel and inventory management.
- Understanding of maintenance planning and asset lifecycle management.
- Ability to handle financial reconciliations and cost control tasks.
- Competence in data analysis and reporting.
- Experience administering ERP and CMMS platforms.
- Ability to manage contractors and vendors.
- Planning and forecasting capability.
- Strong problem-solving and analytical thinking skills.
- Ability to work independently without close supervision.
