Job description

Role Overview

This position supports active residential and commercial construction projects by managing site administration, coordination, records, logistics, and communication. The role works closely with the Project Manager and Site Superintendent to keep project information accurate, current, and readily available so work can move forward smoothly.

The right person will be highly organized, detail-focused, and comfortable acting as the main connection point between on-site activity and office-based coordination in a busy, fast-moving environment.

What You Will Do

  • Back the Project Manager and Site Superintendent in carrying out project plans, schedules, and key milestones across ongoing jobs.
  • Keep project files current and well organized, including drawings, specifications, permits, change orders, RFIs, submittals, and site directives, with proper tracking, distribution, and filing.
  • Arrange site meetings by preparing agendas, recording minutes, and following up on action items until they are completed.
  • Help manage day-to-day site logistics such as deliveries, equipment scheduling, trade and vendor coordination, and access arrangements.
  • Monitor trade and vendor attendance and confirm that required documents and information are in place before site entry.
  • Assist with material tracking, inventory oversight, and delivery coordination to keep project work running efficiently.
  • Serve as a central communication point between field teams, office staff, consultants, clients, and trade/vendor partners.
  • Support site safety and compliance efforts by maintaining records, helping with orientations and toolbox talks, and joining walkthroughs to spot and escalate safety or compliance concerns.
  • Help with reporting and administrative tasks such as preparing project updates, processing timesheets and delivery slips, maintaining daily site logs, and supporting cost tracking and close-out paperwork.
  • Assist with payroll-related inputs, invoicing support, and expense tracking tied to site operations.

Experience and Qualifications

  • At least 2 to 5 years of experience in site coordination, project coordination, construction administration, or a similar role.
  • Background in residential, commercial, or infrastructure projects is strongly preferred.
  • Strong organizational ability and the capacity to juggle several priorities in a fast-paced site setting.
  • Excellent attention to detail for documentation, reporting, and record keeping.
  • Good communication skills and the ability to work professionally with site crews, subcontractors, consultants, and clients.
  • Proactive problem-solving skills, including anticipating needs, following through, and helping resolve issues.
  • Ability to work effectively across both field and office settings while adapting to shifting priorities.
  • Reliable, accountable, and professional in everyday work.
  • Team-oriented approach with the ability to support both site operations and office coordination.
  • Comfort using digital tools and systems; strong Microsoft Office skills, especially Word, Excel, and Outlook, are required.
  • Project management or construction management software experience is an advantage.
  • Strong discipline in maintaining accurate logs, records, and project files.
  • Exposure to site safety procedures, compliance documentation, and related processes is an asset.
