About the opportunity

Fonterra is seeking a Site Administration Lead for its Whareroa site in Taranaki, New Zealand. This is a full-time, on-site position, working Monday to Friday, and reports to the Site Operations Manager.

Whareroa is one of Fonterra’s largest locations, featuring a 7-hectare distribution centre, more than 1,000 employees, and 11 plants, including four milk powder plants, two cheese plants, a cream plant, an anhydrous milk fat plant, plus whey protein and casein facilities. In peak season, the site can process up to 12 million litres of milk per day.

The role is focused on keeping site administration running smoothly and efficiently by coordinating workflows, supporting the leadership team, and helping day-to-day operations stay on track. The successful person will be a key admin contact across the site and will contribute to better systems, stronger follow-through, and continuous improvement.

Key responsibilities

  • Manage site administration activities and help improve the systems and processes that support them.
  • Prepare documents, meeting minutes, action logs, and reports with accuracy.
  • Support data gathering, reporting, and tracking of important dates and operational requirements.
  • Organise meetings and events, including logistics, catering, visitor coordination, and handling enquiries.
  • Assist with site needs such as business continuity planning activities, procurement support, and compliance tracking.
  • Handle practical coordination tasks like vehicle fleet administration and support for site security access.

What we’re looking for

You’ll be a confident, proactive administrator who enjoys supporting others and building strong working relationships. The ideal candidate stays organised under pressure, manages multiple priorities well, and consistently delivers a high level of accuracy and service.

  • Experience in administration, preferably within a busy operational or site-based environment.
  • Strong capability in planning, prioritising, and following tasks through carefully.
  • Clear communication skills and confidence working with a broad range of stakeholders.
  • Good Microsoft Office ability, with the capacity to learn new systems; SAP experience is helpful but not required.
  • Ability to handle sensitive information discreetly, along with a practical approach to compliance, safety, and quality.
  • A mindset focused on continuous improvement and taking ownership to get things done.
