Role Overview

KROHNE Solutions is seeking an experienced Service Department Administrator in Dubai. This position suits someone who is highly organized, service-focused, and comfortable balancing administrative tasks with regular contact across colleagues, customers, and suppliers in an international setting. The role supports the Service team with operational, financial, and logistical work so service engineers can work safely, prepared, and on schedule, while customers receive accurate quotations and invoices.

Key Responsibilities

  • Handle day-to-day administrative work for the Service department, including calls, correspondence, invoicing, translation support, archiving, small shipments, expense statements, and workload prioritization.
  • Draft quotations for low-value jobs and service needs.
  • Coordinate travel for service engineers, including arranging flights and hotel stays.
  • Manage visa processing for employees, colleagues, and visitors.
  • Support smooth execution of field work by organizing PPE and tracking that test equipment is maintained and calibrated on schedule.
  • Prepare cost estimates for service-related activities.
  • Assist with financial processing of service orders by creating invoices in the ERP system, issuing them to customers, and following up when needed.
  • Ensure orders are recorded accurately and fully in the system.
  • Keep service files, logs, and basic departmental reports up to date.
  • Prepare quotations for spare parts and service assignments.

Requirements

  • Completed vocational training or a bachelor’s degree, ideally in administration, business, logistics, or a related field.
  • Prior experience in an administrative or commercial support role, preferably within a technical or service-oriented environment.
  • Interest in technology, process control, and/or technical services, with willingness to learn the fundamentals of the solutions.
  • Strong planning and organizational ability, including managing several tasks and priorities at once.
  • Careful attention to detail when working with figures and documents such as quotations, invoices, and cost calculations.
  • Comfort using ERP systems and Microsoft Office, especially Excel and Outlook.
  • Clear written and verbal communication skills.
  • Professional English; knowledge of additional languages is considered an advantage.
  • Proactive, practical, and customer-focused working style.
  • Readiness to work in an international and multicultural environment in Dubai.
