Role overview
This position is for an HR Executive or Senior HR Executive based in Singapore’s central area. The fixed monthly salary is up to S$4,500, and the package includes AWS and variable bonus.
Recruitment, onboarding and offboarding
- Oversee hiring from end to end, including posting jobs on the required government portal for compliance, handling internship hiring, screening candidates, arranging interviews, preparing offers, updating organisation charts, and maintaining the HR system.
- Work with line managers and external recruitment partners to understand manpower needs and fill vacancies effectively.
- Coordinate pre-boarding, onboarding, and orientation so new hires transition smoothly into the business.
- Manage exit formalities such as clearance checks, company asset return, and final payroll processing.
- Assist business teams in drafting and refining job descriptions.
- Handle employment pass matters, including submissions, renewals, appeals, cancellations, and levy waiver requests.
HR operations and administration
- Track attendance and leave records accurately and in line with company policy.
- Support probation assessments, employment confirmations, and exit interviews.
- Prepare HR letters and correspondence such as confirmation, resignation acceptance, and employment-related notices.
- Support group insurance administration.
- Assist with employee relations matters, including performance issues, grievances, investigations, and disciplinary processes, while maintaining proper documentation.
- Act as a discreet and dependable contact for employee queries.
- Revise HR policies, procedures, and records when needed.
- Contribute to HR projects and ongoing process improvements.
- Support performance appraisal cycles.
- Maintain HR meeting schedules and administrative records for the HCM team.
- Coordinate with vendors, government agencies, and service providers as required.
- Assist with expatriate relocation and assignment arrangements when applicable.
- Take on other ad-hoc HR duties as assigned.
Training and development
- Plan and coordinate internal and external training sessions, including scheduling, logistics, and participant communication.
- Monitor attendance, completion, feedback, and learning outcomes to support improvement efforts.
- Administer the company’s online learning platform, including user setup, account access, enquiries, annual renewals, and SOP updates.
- Help prepare training materials, presentations, and related documentation.
Compliance and document control
- Support compliance with Singapore Employment Act requirements, MOM regulations, and tripartite fair employment guidelines.
- Maintain secure and well-organised HR records and documentation.
- Help prepare for internal and external HR audits and compliance reviews.
Employee engagement and welfare
- Assist in organising engagement activities that strengthen an inclusive workplace culture.
- Support staff welfare initiatives such as team bonding activities and annual company events.
- Coordinate employee communication and feedback activities with relevant departments.

Salary and benefits

Requirements
- A diploma or bachelor’s degree in Human Resources, Business Administration, or a related field.
- At least 3 years of relevant HR experience for Executive level, or more than 5 years for Senior Executive level.
- Experience in shipping, logistics, or maritime environments is preferred.
- Exposure to Japanese corporate working culture is advantageous, though not mandatory.
- Strong understanding of full-spectrum HR processes, including insurance administration.
- Good command of MS Office applications such as Word, Excel, and PowerPoint.
- Experience with HR systems such as Timesoft or SAP SuccessFactors is an added advantage.
- Strong written and spoken communication skills.
- Careful attention to detail and the ability to manage multiple priorities under deadlines.
