Job description
Role Overview
This position provides high-level administrative and coordination support to the Group CFO and other C-suite leaders. The role is centered on executive scheduling, travel planning, documentation, communication handling, and day-to-day office coordination to keep leadership operations running smoothly.
Executive Support
- Deliver dedicated administrative assistance to the Group CFO, including calendar management, meeting coordination, travel planning, and handling important communications in partnership with the CFO’s secretary.
- Draft clear and accurate meeting notes that record decisions, assigned actions, owners, and deadlines.
- Support executive meetings and engagements by preparing agendas, presentation decks, briefing notes, and post-meeting follow-ups.
Travel Coordination
- Plan and coordinate business travel for senior leaders by identifying suitable flight options, booking accommodation in line with company rules, and supporting visa processing.
- Build detailed travel schedules and keep all travel-related documents organized and easy to access.
- Compile and reconcile business and travel expenses according to internal policy requirements.
Calendar and Schedule Management
- Manage complex executive calendars, including appointments, meetings, and travel commitments.
- Arrange and participate in meetings when needed, prepare agendas, capture key discussion points, and monitor action items through completion.
- Help keep executive schedules efficient by resolving conflicts early and improving productivity through thoughtful planning.
Administrative and Operational Support
- Submit monthly reimbursement claims for C-suite executives through the designated OA system within required timelines.
- Serve as a communication point between executives and internal or external stakeholders across email and other channels.
- Prepare confidential documents and paperwork that require authorized sign-off.
- Update monthly foreign exchange rates for use in finance forecasting.
- Handle office communications during executive absences, including both written and in-person interactions.
- Create and improve administrative processes and systems to support efficient department operations.
- Take on additional tasks and projects as assigned.
Requirements
- A bachelor’s degree or an equivalent level of practical experience is required.
- Strong verbal and written communication skills, with the ability to work effectively with people at all levels inside and outside the organization.
- Hands-on experience with administrative work such as bookkeeping, data entry, email coordination, scheduling, and document management.
- Comfort using office software and online collaboration tools, including virtual meeting and video conferencing platforms.
- Ability to solve problems calmly, especially when dealing with last-minute travel changes or sudden scheduling issues.
- Advanced capability with Microsoft Office and related digital tools to improve efficiency and productivity.
- Excellent planning, prioritization, and organizational skills to manage multiple tasks and coordinate meetings and travel smoothly.
