Role Overview
Handshake is looking for a highly organized, strategic, and proactive Senior Executive Assistant to support three C-level leaders. This role is central to helping executives work efficiently, stay focused on business priorities, and operate at a high level.
The right candidate will excel in a fast-moving environment, show strong discretion and judgment, and stay ahead of needs before they surface. Along with executive support, this person will act as a trusted internal partner, helping drive important initiatives, improve operational flow, and support a strong employee experience.
This position is located in downtown San Francisco and requires working on-site five days a week, Monday through Friday.
Key Responsibilities
- Manage complex calendars and coordinate meetings across three senior executives while balancing priorities and maximizing effectiveness.
- Arrange internal and external meetings, confirm attendee availability, and prepare supporting materials.
- Organize travel bookings including flights, hotels, and ground transport, and build detailed executive itineraries.
- Handle executive expenses and submit expense reports.
- Support executives strategically by identifying needs early, solving problems proactively, and improving efficiency where possible.
- Assist with special projects and cross-functional work by tracking deliverables, deadlines, and follow-up actions.
- Coordinate team offsites, events, and the annual week-long onsite while helping maintain team culture and morale.
- Serve as the go-to contact for supported leaders and their departments.
- Partner with recruiting to schedule interviews with executives, team members, and candidates while supporting a smooth candidate experience.
- Represent Handshake professionally for executive guests, partners, candidates, and office visitors.
- Manage meeting logistics, room setup, and hospitality for leadership sessions and important visits.
- Keep stakeholders informed, ensure information flows clearly across teams, and escalate communication issues when needed.
- Use technology, AI-enabled tools, and process improvements to streamline executive support and automate routine work.
- Handle confidential business, personnel, and organizational information with sound judgment and discretion.
- Work closely with the broader Executive Assistant team to share practices and provide backup support when needed.

Compensation
The compensation range for this role is $148,000 to $185,000.
Work Arrangement
This is a full-time, on-site role based in downtown San Francisco. The schedule is Monday through Friday, and the position requires presence in the office five days per week.
