Position Overview

The Senior Event Coordinator plays a critical role within the Access division by overseeing comprehensive event planning and management. This includes handling every phase from conceptualization through to post-event feedback and analysis, ensuring that events are executed flawlessly and deliver a positive experience for attendees.

Core Responsibilities

  • Manage end-to-end event planning and execution across the Access division events portfolio.
  • Collaborate with internal teams and external vendors to coordinate logistics such as venue arrangements, registration and tracking of attendees, entertainment booking, event communications, promotional collateral, signage, and transportation services.
  • Create and maintain event timelines to guarantee that all deadlines and milestones are met consistently.
  • Work closely with the design team to produce invitations, event-related materials, and printed collateral.
  • Formulate, oversee, and reconcile event budgets ensuring compliance with designated financial parameters.
  • Anticipate potential issues and proactively resolve obstacles that could affect event success.
  • Prepare contingency strategies to address risks and maintain smooth event operations.
  • Understand and adapt to the specific logistic and operational needs of a varied range of events.

  • Proficient use of software tools such as Outlook, Microsoft Word, and Excel.
  • Demonstrate meticulous attention to detail combined with strong problem-solving capabilities.

  • Resolve conflicts diplomatically while maintaining a results-oriented approach.
  • Excellent verbal and written communication skills in both in-person and telephone interactions.
  • Familiarity with office procedures, practices, and equipment usage.
  • Capability to operate independently, including during high-pressure situations.
  • Efficient multitasking skills to manage concurrent responsibilities.

Education and Experience Requirements

  • Possession of a college degree.
  • A minimum of five years’ experience coordinating events.

Physical and Work Conditions

This role involves light physical activities, occasionally requiring lifting up to 30 pounds and frequently up to 10 pounds. Work hours are generally from 9:00 a.m. to 5:00 p.m. with a lunch break and schedule flexibility based on business demands. Some travel is expected.
