Role Summary

This position is responsible for delivering secretarial and administrative support to the Senior Leadership Team in their everyday work, while also assisting them with broader coordination needs as required. The aim of the role is to help maintain and strengthen QNB’s professional image through prompt, efficient, and well-organized support.

The ideal candidate will be highly organized, detail-oriented, proactive, and able to anticipate needs and suggest improvements where possible. A positive attitude, strong interpersonal ability, sound judgment, and flexibility are essential. The role also requires excellent written and verbal communication skills to represent the business professionally, interact courteously with clients and colleagues, and respond accurately and quickly to requests.

Key Responsibilities

  • Support the Senior Leadership Team with daily administrative and secretarial tasks, including agenda planning, travel coordination, drafting emails and couriers, preparing documents, meeting packs, presentations, and handling general branch administration.
  • Maintain effective coordination with departments across the branch and head office to support clear and timely communication.
  • Organize travel arrangements such as flights, hotels, cars, and related itineraries and trip materials.
  • Manage busy and complex calendars, schedule internal and external meetings, client sessions, senior management events, and video or conference calls, and handle incoming and outgoing correspondence.
  • Assist with senior VIP visits to head office, including logistics, scheduling, and travel-related arrangements.

Qualifications and Experience

  • A bachelor’s degree is required.
  • At least 5 years of experience is needed, including a minimum of 2 years in a comparable executive-level role.
  • Previous secretarial or personal assistant experience in a service-focused organization is expected, preferably within financial services.
  • The candidate should have experience supporting a busy senior manager with both personal and professional commitments, including regular travel and demanding team priorities.
