About the Role

Glidewell Dental is seeking a detail-oriented Scheduler I to provide essential administrative support within their Irvine, CA operations. This role is crucial for maintaining efficient production flow and ensuring timely communication with dental offices regarding case scheduling and shipping. The Scheduler I will act as a key liaison between departments, manage case tracking systems, and proactively address any production-related impacts on shipping schedules. This is a full-time, onsite position.

Responsibilities

  • Provide administrative assistance, including confirming and scheduling shipment dates, scanning incoming cases, and liaising with various internal departments.
  • Proactively communicate with dental offices via phone or email to inform them of any shipping date adjustments or to verify case details, adhering to established communication guidelines.
  • Maintain accurate records by updating case statuses, work order tracking systems (like DL+), and customer management platforms with any changes to shipping schedules.
  • Facilitate the creation of case models and coordinate with the digital team for necessary model printing.
  • Monitor the overall production workflow, understand how production challenges affect shipping timelines, and reschedule shipments as needed.
  • Oversee the progress of urgent cases to ensure they meet their impending ship dates, collaborating with management and call center staff to guarantee their completion.
  • Communicate critical production updates to the subsequent work shift team, including relevant management personnel.
  • Verify the presence of prescription photos on cases, print them, and locate the case to consolidate materials if required.
  • Utilize the GO Location Scan tool to meticulously track the location and status of cases throughout the production floor.
  • Generate or reprint prescriptions from the work order/case tracking system as necessary.
  • Ensure cases are scanned promptly to update location tracking as they move between different areas of the production facility.
  • Assign cases to Dental Technicians using the DL Touch system.
  • Monitor the designated Outlook email inbox for incoming communications.
  • Undertake additional related duties and projects as directed by management to meet business needs.

Requirements

  • High school diploma or equivalent is required.
  • A minimum of six months to one year of experience in a call center environment is necessary.
  • Proficiency in using case tracking systems and customer management software is expected.
  • Strong organizational and multitasking abilities are essential for managing production flow and communication.
  • Excellent verbal and written communication skills for interacting with dental offices and internal teams.
  • Ability to work effectively in a fast-paced production environment.

Eligibility
