Role Overview
The Sales Support Analyst is responsible for leading a team that provides commercial and administrative assistance for diesel genset sales. The position keeps inquiries, quotations, and orders moving on time and with accuracy, while serving as a coordination hub between sales, project management, procurement, and design engineering. The role is centered on smooth processes, responsive customer handling, and commercial precision, while technical design ownership remains with the head of engineering.
Key Responsibilities
This role covers supervision of the centralized sales support function, oversight of RFQs, quotations, and order entry, and coordination across multiple internal teams to ensure proposals, pricing, specifications, and delivery commitments are accurate and complete. It also includes maintaining records in ERP and CRM systems, improving turnaround times, assisting with tenders, and strengthening workflow efficiency.
- Lead and support the centralized sales support team to maintain strong productivity, accuracy, and service quality.
- Handle the full workflow for RFQs, quotations, and order processing for both standard and custom diesel gensets.
- Work with design engineering to collect technical specifications, drawings, and compliance information needed for proposals.
- Coordinate with procurement and production to confirm the right specifications and costing.
- Partner with project management teams to align delivery timelines, project milestones, and execution needs.
- Assist the sales team in developing commercial proposals with the right pricing, margin, and contractual conditions.
- Check quotations and proposals for completeness, consistency, and compliance with company standards.
- Serve as the central internal contact for complex or urgent customer requests.
- Make sure customer needs such as load capacity, site conditions, and regulatory requirements are clearly passed to technical teams.
- Keep quotations, orders, and customer records up to date in ERP and CRM platforms.
- Track quotation and order-processing turnaround time and work to improve it.
- Spot delays or inefficiencies in sales support processes and help implement better ways of working.
- Support tender preparation by gathering commercial documents and coordinating inputs from different departments.
- Ensure all work follows company policy, commercial rules, and documentation standards.
Work Relationships
The position interacts closely with Area Sales Managers, Sales Engineers, Power Projects Managers, Design Engineers, Cost Accountant, Procurement Manager, Procurement Specialist, and the Credit Team.
HSE Responsibilities
The role also requires compliance with Quality, Health, Safety, and Environmental requirements, along with active participation in safety-related activities and reporting.
- Follow all QHSE policies, procedures, and legal requirements.
- Report unsafe conditions, incidents, and near misses promptly to the relevant supervisor or QHSE team.
- Take part in compulsory safety inductions, HSE training, safety meetings, emergency drills, and root-cause investigations.
- Observe emergency response procedures such as evacuation, fire response, and first aid when trained.
- Follow environmental control measures, including proper waste disposal and reporting of spills or leaks.
- Contribute ideas to improve QHSE practices and take ownership of continuous improvement efforts.
Qualifications and Certifications
A bachelor’s degree in Business Administration, Commerce, Accounting, or a related field is required. Certifications in Excel and quantitative analysis are also considered relevant.
Skills and Experience
The ideal candidate should understand sales processes and sales systems, be highly skilled in Microsoft Excel, Word, and PowerPoint, and communicate clearly in English in a corporate setting. Experience with CRM and ERP tools, reporting and dashboard concepts, and basic SQL is preferred, along with familiarity with business intelligence platforms. A minimum of 3 years of relevant experience in sales support, commercial operations, or order management within industrial equipment or genset-related businesses is needed.
