The Kleindienst Group, a prominent European real estate and hospitality developer with over 30 years of experience, is seeking a Sales Administrator for The Heart of Europe project in Dubai. Established in Austria and Hungary and operating in Dubai since 2003, the group is the largest European real estate company in the region, employing over 1,200 individuals across property development, construction, hospitality, brokerage, shipbuilding, and corporate business centers. The Heart of Europe, located 4km off the Dubai coastline on The World Islands, is an ambitious masterplan featuring 15 hotels and resorts, 4,000 holiday homes, the unique Floating Seahorse Villas, pristine beaches, and innovative attractions like a climate-controlled rainy street and snow plaza. The project is dedicated to delivering exceptional sustainability and showcasing European culture, heritage, and lifestyle through its architecture, events, and advanced technology. This role offers an exciting opportunity to contribute to one of Dubai's most intriguing investments.

Key Responsibilities

  • Provide comprehensive administrative support to the sales team, managing daily tasks and coordination efforts.
  • Generate and process essential sales documentation, including offers, contracts, and Memorandums of Understanding (MOUs).
  • Maintain and meticulously update client databases, sales trackers, and Customer Relationship Management (CRM) systems, such as Salesforce.
  • Facilitate the scheduling of meetings, assist in the preparation of sales presentations, and manage follow-up communications.
  • Act as a liaison between the sales team and internal departments like legal, finance, and marketing to ensure seamless transaction progression.
  • Coordinate with clients to gather necessary documentation and ensure timely submission of all required paperwork.
  • Oversee invoice generation, manage payment follow-ups, and perform accurate data entry.
  • Compile and analyze sales reports, consolidating performance data for team reviews.
  • Ensure the utmost accuracy and compliance in all sales-related documentation and record-keeping.
  • Deliver outstanding customer service to both internal stakeholders and external clients.
  • Monitor and expedite critical sales documentation, including Sale and Purchase Agreements (SPAs), down payments, and Post-Dated Cheques (PDCs), to guarantee prompt processing.
  • Collaborate with Finance Operations to manage payment recovery, including follow-ups on bounced cheques and partial payments.

Essential Requirements

  • Hold a Bachelor's degree in Business Administration or a closely related academic discipline.
  • Fluency in Arabic is a preferred qualification for this role.
  • Possess a minimum of 2 years of relevant experience in a Sales Administrator capacity, with a mandatory background in real estate.
  • Demonstrate proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and various CRM platforms.
  • Must have prior experience handling Sale and Purchase Agreements (SPAs) and Oqood Registrations.
  • Exhibit strong organizational capabilities and the ability to manage multiple tasks effectively.
  • Possess excellent written and verbal communication skills.
  • Demonstrate the capacity to perform effectively under pressure and adhere to strict deadlines.
  • Be a collaborative team player with a consistently positive professional demeanor.
