Role Overview

This position sits within the Communities Delivery organization and combines two core responsibilities: staffing/resourcing coordination and internal project coordination. You will support a team of about 70 people, helping ensure the right resources are allocated, project work stays organized, and internal teams remain aligned as priorities shift.

The role is hands-on and execution driven. It requires someone who can manage a high volume of work, keep multiple trackers and systems current, and move quickly without losing accuracy.

The stated compensation for this position is $60,000 to $65,000 annually. If that range is not a fit, the employer suggests considering other openings.

What You Will Do

In this role, you will help keep both staffing and project workflows running smoothly across enterprise client account teams. You will work closely with leadership, team members, and operational partners to solve day-to-day coordination needs, surface risks early, and support practical decisions that balance client needs, employee capacity, revenue goals, and margin improvement.

  • Coordinate staffing across multiple client teams and ensure work is assigned to the most suitable people.
  • Spot available capacity, suggest solutions when staffing gaps appear, and help implement staffing changes in partnership with team members and leaders.
  • Support leadership in balancing client requirements, employee needs, team capacity, and broader business priorities.
  • Manage freelancer coordination, including assignments, budget monitoring, and performance feedback with leadership involvement.
  • Keep detailed trackers for hours, budgets, and margins up to date and accurate.
  • Look for opportunities to improve staffing processes and introduce better systems or workflows.
  • Handle sensitive staffing and performance information carefully and discreetly.
  • Support internal project teams by organizing timelines, deliverables, and communication.
  • Track schedules, budgets, and supporting documents to keep projects progressing on time.
  • Monitor work status, identify risks, and follow up on next steps so deadlines are met.
  • Assist with project setup, resource alignment, and onboarding for new team members.
  • Anticipate obstacles and help project leads adjust plans when priorities change.
  • Find ways to improve how the team works internally and across other business functions such as client teams, sales, and operations.

What You Bring

  • 1 to 3 years of experience in a coordination-intensive role such as staffing or resource coordination, agency traffic management, project coordination, or executive support in a fast-paced professional services setting.
  • Proven ability to handle a large workload with many projects, stakeholders, and deadlines at the same time.
  • Strong precision and discipline in keeping records, documentation, and data current.
  • Good judgment about when to take initiative and when to involve senior stakeholders.
  • Excellent spoken and written communication that can be adjusted for different audiences.
  • Comfort using multiple communication tools, including phone, video, in-person discussions, chat, email, and SharePoint.
  • Ability to manage competing priorities, make practical trade-offs, and explain decisions clearly.
  • A problem-solving mindset and comfort working in a setting where priorities change often.
  • Experience with project management or resource management tools is helpful but not essential; a willingness to learn matters most.
