Role overview
The selected candidate will serve as the office’s initial point of contact, welcoming visitors courteously and professionally. This role also includes handling mail flow, supporting daily administrative tasks, and providing general clerical assistance as needed.
Core duties
- Answer incoming calls through a single-line or multi-line switchboard, forward them correctly, and keep accurate records of long-distance calls.
- Record messages carefully and pass them on to the right person without delay.
- Welcome office visitors, understand why they have arrived, and guide them accordingly.
- Provide visitor passes, keep visitor records up to date, and monitor log entries.
- Notify the relevant employee or team when a guest arrives, or direct the visitor to the appropriate office or department.
- Handle basic queries from internal and external contacts about office location, working hours, contact numbers, and email details.
- Carry out routine administrative tasks such as reserving meeting rooms, typing documents, sorting and distributing mail, managing courier pickups and deliveries, processing related paperwork, and entering data.
- Manage email correspondence, receive calls, note messages, and redirect calls and emails when needed.
- Maintain diaries, coordinate appointments, and arrange meeting rooms and conference spaces.
- Follow company values in day-to-day work and use good judgment when making decisions.
- Take on additional tasks assigned by management according to business requirements.
Qualifications
- A high school diploma or equivalent work background is acceptable.
- A calm, positive attitude is important for success in this role.
- Strong verbal and written communication skills are required.
