Job description
Role Overview
Classic Paramount Real Estate is looking for a Reception Administrative Assistant who can keep leads, listings, and front-desk support running smoothly while assisting a sales team that spends much of its time out in the field. This role suits someone attentive, tech-savvy, and comfortable using messaging tools and real estate systems.
Core Duties
- Oversee property listings across online portals.
- Work with Agent-to-Agent forms and related documentation.
- Coordinate with the sales team to publish and manage property advertisements.
- Handle the daily flow of leads and listings through the CRM.
- Provide support with office paperwork and compliance tasks.
- Make follow-up calls to clients and sales representatives.
- Organize property viewings with the sales team when needed.
- Manage fallback calls and capture client requirements.
- Help organize, file, and maintain agent-related data and records.
- Prepare tenancy contracts, Ejari documents, and MOUs.
- Maintain records of signed forms and application documents.
- Assist with forms and application handling.
- Stay current with RERA compliance requirements.
- Obtain Trakheesi permits through the relevant portal.
- Communicate internally with agents and sales staff.
- Conduct follow-up and feedback calls with clients.
- Coordinate with agents about scheduled viewings.
- Allocate and reroute leads according to company policy.
Candidate Profile
The company is seeking someone who understands real estate systems and tools, communicates clearly through calls and messaging, and can manage several tasks at once with accuracy and vigilance. A minimum bachelor’s degree is required, and prior experience in real estate or a similar field is preferred.
