Purchase Officer

Role overview

This position is focused on procurement execution for raw materials, components, and services needed for production. The role involves close coordination with suppliers, stores, accounts, and production teams to keep materials moving on time, maintain accurate records, and support cost and inventory control efforts.

Key responsibilities

• Raise purchase orders for raw materials, components, and services in line with demand, production plans, and approved technical specifications.
• Track and follow up with suppliers based on project changes, whether timelines are moved forward or pushed back.
• Work proactively to make sure materials arrive on schedule and production is not interrupted.
• Keep regular communication with vendors about order progress, lead times, and quality expectations.
• Review supplier performance and help maintain an up-to-date vendor database.
• Assist in developing vendors and supporting the approval process for new suppliers.
• Prepare, organize, and preserve procurement records such as purchase orders and contracts.
• Coordinate with stores and finance teams for GRN processing, invoice checks, and payment handling.
• Enter procurement transactions accurately into the ERP or procurement system, such as SAP, Oracle, or similar software.
• Monitor stock levels and material usage with stores and production teams to support inventory control.
• Identify opportunities to reduce costs and improve inventory efficiency.
• Follow company procedures, quality requirements, and relevant legal or statutory rules.
• Compile procurement updates such as order progress, delayed deliveries, and spend summaries.
• Support internal and external audits connected to purchasing activities.
• Contribute to process improvements that shorten lead times and strengthen vendor management.
• Take part in lean, Kaizen, or other continuous improvement efforts within procurement.
