About the Role
This position offers administrative and clerical assistance to leaders within Global Publicity at Warner Bros. Discovery. The role supports day-to-day coordination for publicity activities tied to films, talent, and filmmakers.
What You’ll Do
- Keep talent and filmmaker calendars organized and up to date.
- Stay informed about global press, media coverage, and industry developments across multiple channels.
- Coordinate travel and grooming arrangements for film talent, including rate discussions with hairstylists, makeup artists, and stylists, under supervisor guidance.
- Help manage communication flow between publicity leaders, filmmakers, and talent representatives such as publicists, managers, agents, and assistants, including preparing draft correspondence for review.
- Handle invoicing tasks such as bills, check requests, and purchase orders.
- Track and update film budgets on a weekly basis.
- Support premieres, press junkets, screenings, and similar publicity events.
- Welcome clients, talent, creative teams, and executives at events and serve as a liaison for talent on site.
- Manage press check-ins at screenings and special events, then compile attendance and reaction summaries for circulation to filmmakers and talent.
- Join brainstorming sessions and creative discussions, and record meeting notes when required.
- Assist with research for upcoming films and projects.
- Provide backup administrative support to executives when needed.
- Help put publicity plans into action and support communications with global publicity teams.
- Maintain team and department documentation, including reports, files, records, indexes, logs, and matrices.
- Keep film contact sheets current with representative details for talent and filmmakers.
- Coordinate with media publicists to track when coverage is scheduled to air, then share that information with filmmakers and talent.
- Route incoming press requests to the correct team publicist or the relevant international publicity group.
Qualifications
- Prior experience in a secretarial or administrative capacity is required.
- Previous work in publicity or promotions is required.
- Background in entertainment or studio environments is required.
- Typing speed of at least 45 words per minute is required.
- Strong working knowledge of Microsoft Word, Excel, Outlook, and internet tools is required; PowerPoint is preferred.
- Comfort with file organization, record maintenance, filing systems, basic math, spelling, grammar, punctuation, English usage, and standard report and letter formatting is expected.
Compensation and Employment Notes
The hourly base pay range for this role is $25.96 to $29.00. Compensation may vary depending on market conditions, internal equity, location, skills, experience, and performance. Base pay is only one part of the overall compensation package. This role is represented by OPEIU 174.
