Role overview

The Project Specialist plays a key support role in planning, coordinating, and carrying out projects so they stay on schedule, remain within scope, and are delivered without exceeding budget. The position partners with project managers, cross-functional teams, and stakeholders to track progress, keep records up to date, coordinate communication, and help remove obstacles that could affect successful delivery.

Key responsibilities

  • Help organize, plan, and coordinate day-to-day project activities.
  • Keep an eye on timelines, milestones, deliverables, and budget movement.
  • Update project files, reports, and status communication regularly.
  • Arrange meetings, draft agendas, and record minutes along with follow-up actions.
  • Monitor risks, issues, and interdependencies, and raise concerns when needed.
  • Share project status and updates with both internal teams and external stakeholders.
  • Work alongside different functions to support project goals and completion.
  • Assist with resource planning and scheduling tasks.
  • Follow company policies, quality expectations, and project procedures.
  • Contribute to process enhancement and project management best practices.
  • Build project performance reports and dashboards with project management tools.
  • Support project closure tasks, including final documentation and lessons learned.

Qualifications

A bachelor's degree in Business Administration, Project Management, Engineering, Information Technology, or a related discipline is required. The ideal candidate should have 2 to 5 years of experience in project coordination, project administration, or a similar capacity. Familiarity with project management approaches such as Agile, Scrum, or Waterfall is expected, along with strong skills in Microsoft Office, especially Excel and PowerPoint. Experience with tools such as Microsoft Project, Asana, Jira, Trello, or Monday.com is also important. This role calls for strong organizational ability, communication skills, problem-solving strength, and the flexibility to handle several priorities in a busy environment.
