Job description
Role Overview
We are in search of a meticulous and proactive PRO Assistant to manage government relations and ensure adherence to regulatory requirements within our construction and landscaping sectors. This position demands effective collaboration with UAE governmental bodies, precise document management, and diligent follow-ups on licenses and employee-related official procedures.
Key Responsibilities
- Act as a liaison with UAE authorities such as GDRFA, MOHRE, ICP, Department of Economic Development, and more.
- Work alongside employees and internal teams to facilitate processing, renewal, and cancellation of visas, medical insurance, labor cards, Emirates IDs, work permits, and other government-related paperwork.
- Support visa applications, renewals, cancellations, and labor transactions in line with UAE legal requirements.
- Monitor trade license renewals, permits, approvals, and expiry dates to guarantee timely compliance.
- Maintain accurate tracking of license validity and renewal schedules via compliance calendars.
- Archive government contracts, licenses, approvals, and official documents in both hard copy and electronic forms.
- Prepare and present regular compliance updates and reports to management.
- Coordinate with HR, Finance, and Administration teams to ensure smooth government procedure processing.
- Assist during audits, inspections, and official visits when necessary.
- Protect confidentiality and accuracy while handling sensitive data.
Qualifications and Requirements
- Holding a Diploma or Bachelor's degree in Business Administration or a related discipline is advantageous.
- Possess 2 to 4 years of experience as a PRO Assistant or in an equivalent role within the UAE environment.
- Comprehensive understanding of UAE government entities and electronic systems including but not limited to GDRFA, MOHRE, ICP, and DED portals.
- Demonstrated expertise in managing license renewals, expiry tracking, and compliance record keeping.
- Fluent in both Arabic and English languages, both spoken and written.
- Outstanding skills in organization, communication, and documentation.
- Competent in handling multiple responsibilities, prioritization, and operating effectively under pressure.
- Proficiency in MS Office suite and reporting software.
