Job description
About Carnegie
Carnegie partners with colleges and universities to create meaningful, lasting outcomes for institutions, learners, and the communities they influence. The organization focuses on helping higher education thrive and places strong emphasis on building careers that develop with the person.
Role Overview
The People Success Generalist plays a key role on Carnegie’s People Success team, managing the daily operations of the employee lifecycle with care and accuracy from onboarding through offboarding. Working closely with the AVP, People Operations + Enablement, this position helps keep core people processes moving smoothly, including benefits administration, compensation data, leave administration, compliance, and reporting.
The role also involves partnering with Carnegie’s PEO, Insperity, to connect employee needs with external systems in a responsive and detail-focused way. It suits someone who is both process-driven and people-centered, with a strong commitment to delivering an experience that feels seamless for employees and managers.
Key Responsibilities
- Manage the practical side of new hire onboarding, including paperwork, system access, and first-day preparation so new employees are ready to begin successfully.
- Act as the main internal contact for questions related to benefits, payroll, 401(k), and leave, while coordinating directly with Insperity to ensure accurate and timely answers.
- Oversee offboarding administration, including termination paperwork and exit interviews that can provide useful feedback for the team.
- Coordinate parental and medical leave cases in line with PEO rules, handling each step with precision and empathy.
- Process unemployment claims and gather the supporting documents needed for them.
- Run compensation benchmarking and salary survey analysis to help keep pay structures competitive and aligned with market trends.
- Assist with pay equity reviews and support job grading and leveling for current and new roles to maintain a fair internal structure.
- Keep compensation and benefits records accurate and up to date so payroll processing can run cleanly in partnership with the Payroll Specialist.
- Organize the administrative side of 90-day and annual performance reviews so leadership’s review framework is carried out consistently.
- Help leadership document performance issues and disciplinary actions with discretion and accuracy.
- Support annual EEO-1 reporting with Insperity and handle Massachusetts HIRD reporting for regional compliance needs.
- Maintain secure, audit-ready employee files and ensure status changes and supporting documents are current.
- Prepare detailed data sets for RFP responses and create recurring reports on PTO usage and other people metrics for leadership.
- Manage updates and version control for the Employee Handbook, ensuring policy changes are reflected correctly and communicated proactively.
Requirements
- 3 to 5 years of experience in benefits administration, compensation analysis, or HR operations.
- Practical understanding of the full payroll process and how benefits and compensation data move into payroll.
- Strong Excel skills, including VLOOKUPs and Pivot Tables, with experience using them for data reconciliation across PEO reports, HRIS data, and payroll exports.
- Prior experience in a PEO environment, or close partnership with payroll or finance teams, is preferred.
- Exposure to Workday HRIS is an advantage.
- Working knowledge of federal and state employment laws.
- Strong discretion and sound judgment when handling sensitive information.
- Effective communication skills and the ability to work well across People, Payroll, and Finance in a remote-first setting.
- Bachelor’s degree or equivalent practical experience.
- SHRM, CBP, or CCP certification would be a plus.
Why This Role Matters
