Role Overview
The Payroll Specialist will manage end-to-end payroll processing, ensure wages and deductions are calculated correctly, maintain payroll records, provide employee payroll support, and help the company stay compliant with applicable federal and provincial payroll and tax requirements.
Key Responsibilities
This position covers payroll administration, compliance and reporting, payroll system support, and benefit-related payroll tasks.
- Run the complete bi-weekly payroll cycle, currently in Dayforce and moving to UKG.
- Calculate regular pay, overtime, vacation pay, public holiday pay, bonuses, retroactive pay changes, and other earnings accurately.
- Apply payroll deductions such as income tax, CPP, EI, benefit premiums, RRSP deductions, garnishments, and other withholdings.
- Handle payroll actions linked to hiring, pay changes, promotions, transfers, leaves, and employee exits.
- Review and balance payroll before each run, then investigate and correct any discrepancies.
- Keep payroll files and employee pay information accurate and confidential.
- Answer employee questions about pay, deductions, vacation accruals, and taxable benefits.
- Make sure payroll practices follow all relevant federal and provincial legislation.
- Prepare and send remittances to government bodies and external vendors.
- Complete year-end payroll activities such as T4s, T4As, ROEs, and other statutory filings.
- Support payroll audits by supplying accurate records and supporting documents.
- Produce payroll reports and reconciliations for Human Resources and Finance.
- Assist with testing, validation, and user acceptance work during the UKG payroll implementation.
- Check payroll data accuracy after system upgrades, changes, or enhancements.
- Look for ways to improve payroll processes, accuracy, and efficiency.
- Administer payroll deductions related to employee benefits and retirement savings plans.
- Process benefit enrollments, updates, and terminations that affect payroll.
- Reconcile benefit invoices and verify deduction accuracy.
- Process payroll changes tied to disability leaves and other leaves of absence.
- Carry out other payroll-related tasks as requested.
Qualifications
- A 2-year college diploma in accounting, bookkeeping, business administration, or a related discipline.
- Payroll Compliance Practitioner (PCP) certification from the National Payroll Institute is considered an asset.
- At least 3 years of Canadian full-cycle payroll experience.
- Experience handling payroll for about 100 employees or more is an advantage.
- Prior use of computerized payroll systems is required; Dayforce experience is an asset.
- Experience supporting a payroll system implementation or conversion, such as to UKG, is an asset.
- Must be able to maintain strict confidentiality.
- Must have reliable attendance.
- Must be able to meet the physical and sensory requirements of the role.
Work Environment and Conditions
- Normal office setting.
- Work is primarily seated and computer-based for most of the day.
- The role requires full joint mobility in the hands and wrists.
- Internal contact is mainly with employees, managers, and service providers.
