Job description
Role summary
The Payroll Administrator will be accountable for processing employee pay accurately and on time, while making sure payroll activities meet all required legal and company standards. The position also involves keeping payroll information current, resolving pay issues, and helping employees with payroll questions. Working in partnership with Human Resources, Financial Operations, and FP&A, this role supports efficient, compliant payroll operations and end-to-end pay cycle management.
This is a hybrid position, with at least three days each week spent in the office or more, depending on management direction and business requirements. Candidates who can work from Courtney, Vancouver, Victoria, or Kelowna will be preferred.
Payroll processing and administration
- Run semi-monthly payroll for salaried and hourly employees through the payroll platform.
- Support payroll runs twice a month, including regular pay, extra pay cycles, bonuses, adjustments, and special payments.
- Calculate and process wages, benefits, incentive pay, reimbursements, vacation pay, statutory holiday pay, and payroll deductions accurately.
- Check payroll input carefully before each processing run.
- Keep payroll records current, including personal details, tax documentation, employment changes, benefit enrolments, RRSP details, hires, terminations, and leave records.
- Complete reconciliations for payroll-related accounts such as benefits, taxes, deductions, and other related balances.
- Store payroll files securely and keep them organized in line with company rules and regulatory obligations.
- Protect employee payroll data and personal information at all times.
Employee and manager support
- Investigate and correct payroll differences quickly and accurately.
- Work with supervisors and department managers to resolve problems linked to payroll, timekeeping, and attendance.
- Serve as a primary contact for payroll questions from employees and managers, providing clear and professional support.
- Handle payroll-related concerns promptly while preserving confidentiality.
Process improvement and compliance
- Spot opportunities to improve payroll procedures, controls, and overall efficiency.
- Maintain compliance with CRA rules, BC Employment Standards, the Employment Standards Act (ESA), and other applicable payroll laws.
- Stay informed on payroll legislation, tax requirements, and current best practices.
- Contribute to payroll projects, system upgrades, testing activities, and other improvement initiatives.
- Take part in training and professional development to build payroll knowledge and capability.
Reporting and documentation
- Help prepare payroll reports and supporting materials for internal and external audits.
- Support audits by providing accurate records, reports, and documentation as needed.
- Prepare and review payroll documents and statutory filings such as ROEs, T4s, T2200s, WorkSafeBC submissions, year-end reconciliations, and other required filings.
- Maintain complete and well-organized payroll records to support compliance and audit readiness.
- Produce payroll reports for management, regulators, and other stakeholders when required.

Compensation
The annual salary range for this position is CAD 60,000 to CAD 75,000. Pay will be set based on experience, role-specific knowledge, and skills, while also taking internal equity and regional fairness into account.

Requirements
- At least 2 years of payroll experience, ideally in a high-volume or multi-provincial setting.
- PCP certification, or active progress toward it, is considered an advantage.
- A degree or diploma in Business Administration or Accounting, or equivalent practical experience.
- Hands-on experience with payroll software such as Workday, ADP Workforce Now, Ceridian Dayforce, or Payworks.
- Strong working knowledge of payroll legislation, statutory deductions, and compliance rules.
- Advanced Excel ability, including familiarity with PivotTables and VLOOKUP, is preferred.
- High accuracy, strong organization, and the ability to manage deadlines consistently.
- Solid analytical, troubleshooting, and reconciliation skills.
- Strong verbal and written communication skills, especially when handling sensitive or confidential matters.
- Ability to collaborate effectively, manage several priorities, and suggest process improvements.
