Role Summary

The Creative Operations Specialist will be responsible for designing, improving, and scaling the operating model that supports the Creative Production team. This position blends operations, process design, and AI-powered automation to turn production work into a more structured, efficient, and self-sustaining system.

The role is focused on building clear ways of working, improving communication across teams, and introducing automation that reduces repetitive manual effort. The goal is to make the production environment more predictable, efficient, and increasingly autonomous.

What You Will Do

  • Develop and maintain practical, scalable systems, including workflows, documentation, onboarding resources, and team communication structures.
  • Support the team’s weekly, monthly, and quarterly operating cadence by organizing check-ins, planning meetings, updates, and follow-up actions.
  • Help clarify priorities, ownership, blockers, and next steps so the team can stay aligned and work smoothly.
  • Coordinate across producers, strategists, platform teams, and other stakeholders to keep information moving and ensure dependencies are tracked properly.
  • Document decisions and strengthen cross-functional collaboration so important context is not lost between teams.
  • Identify repetitive operational tasks that can be streamlined through AI agents or automation, such as reminders, reporting, status tracking, meeting prep, documentation, and follow-ups.
  • Work with AI and MarTech teams to design smarter workflows that can scale with the business.

What We’re Looking For

  • Previous experience in operations, project management, production operations, business operations, or a similar function.
  • Strong ability to organize multiple workflows at once and keep work moving reliably.
  • Hands-on experience creating processes, documentation, and operational systems from scratch.
  • A strong sense of accountability, with careful attention to detail and dependable follow-through.
  • Clear communication skills and confidence working with several teams and stakeholders.
  • A systems-oriented mindset with the ability to spot patterns, bottlenecks, and opportunities to improve how work is done.
  • Genuine interest in AI, automation, and operational tools.
  • Experience with Airtable, Notion, project management tools, automation platforms, AI agents, or similar systems is an added advantage.
  • English proficiency at B2 level or above.
