Role overview
The Operations Executive will oversee the full operational setup and delivery of exhibitions and conferences. This includes planning event logistics, coordinating exhibitors and contractors, managing floor plans, handling venue requirements, and ensuring everything runs smoothly on site.
Key responsibilities
- Work with venue teams and suppliers to keep event operations running efficiently.
- Draft, maintain, and distribute exhibitor manuals, registration workflows, and exhibitor-related communications.
- Manage all operational needs for shell scheme, deluxe, and open space exhibitors, including stand details, artwork, approvals, and service requests.
- Administer the exhibitor services portal for registrations, approvals, and ordering of extra services.
- Coordinate with exhibitors, contractors, and venue representatives on stand build requirements, venue rules, power supply, rigging, catering, security procedures, and dismantling plans.
- Build, revise, and track exhibition floor plans while securing timely sign-off from venue authorities.
- Handle health and safety clearances, logistics arrangements, RTA signage, electricity, and rigging requirements for feature areas.
- Partner with Marketing, Design, Sales, Registration, and Project Management teams to ensure branding and operational plans are implemented correctly.
- Coordinate venue branding options and supervise execution during the event.
- Identify, compare, and negotiate with vendors and suppliers to secure competitive pricing and dependable service quality.
- Arrange travel, accommodation, and logistics for VIP guests, speakers, delegates, and government representatives when needed.
- Ensure every operational activity aligns with venue regulations, project deadlines, and company standards.
Qualifications
A bachelor’s degree in Business Administration, Event Management, Operations, or a related discipline is required.
Experience of 3 to 5 years in exhibition, conference, or event operations is expected.
