Role Summary
The Operations Coordinator will help keep business activities organized by tracking tasks, renewals, approvals, and department-level operational requirements. The position involves proactive coordination, follow-ups, record keeping, and administrative support to ensure deadlines are met and internal processes run smoothly.
Responsibilities
- Monitor all active tasks, renewals, approvals, and operational items across departments.
- Follow up regularly to make sure action items are completed on schedule, while sharing reminders and status updates with management and relevant teams.
- Keep accurate logs, trackers, meeting records, and supporting documents for key business activities.
- Work closely with different departments so assigned work is carried out promptly and without delays.
- Support Sales and Operations Coordinators by tracking pending tasks and coordinating internal as well as external requirements.
- Liaise with Finance, Administration, and PRO teams for invoice follow-ups, document renewals, approvals, and related administrative work.
- Assist executives and managers with day-to-day coordination, business communication, and, when needed, preparation of quotations, proposals, and agreements.
Requirements
- Strong spoken and written communication abilities.
- Solid skills in business writing, documentation, email drafting, and formal correspondence.
- Good organizational, multitasking, coordination, and follow-up skills.
- A detail-focused, proactive approach with the ability to work independently and with minimal supervision.
- Working knowledge of Microsoft Office tools, including Outlook, Word, Excel, and Teams.
- 2 to 4 years of relevant professional experience.
- Must be based in Dubai.
