About the Role
As the first point of contact for new clients post-signup and their primary guide throughout the onboarding process, the Onboarding Specialist plays a crucial role. This position involves leading live Zoom sessions for payroll and bookkeeping configuration, liaising with internal Every teams, ensuring all necessary information is gathered, and meticulously tracking progress until the client is fully operational. The ideal candidate possesses strong presentation skills for virtual meetings, excels at managing multifaceted tasks across various departments concurrently, and provides prompt, proactive customer support.
What You'll Do
- Act as the main liaison for new clients from the moment a contract is signed until they are fully onboarded and live.
- Conduct live Zoom sessions to guide clients through the setup of payroll, bookkeeping, tax services, and other Every products.
- Collaborate with internal teams, including Payroll, Tax, Bookkeeping, and other product departments, to ensure timely completion of client-specific tasks.
- Manage the entire contract lifecycle, including distribution, tracking, follow-ups, and confirmation of signatures.
- Ensure accurate updates to billing systems upon contract execution.
- Proactively oversee outstanding items, deadlines, and interdependencies for multiple client onboardings simultaneously.
- Identify and escalate potential roadblocks early, driving them to resolution whether they originate with the client or internally.
- Address customer inquiries swiftly and clearly, aiming for same-day responses.
- Contribute to the development and enhancement of onboarding processes and documentation as the company scales.
What We're Looking For
- Recent graduates from accredited four-year universities with a strong academic record and demonstrated intellectual capability.
- Outstanding communication skills, with the ability to present clearly, confidently, and professionally on video calls with founders and executives.
- Exceptional attention to detail, with a knack for identifying overlooked issues and ensuring tasks are consistently followed through.
- Proficiency in project coordination, capable of managing numerous concurrent tasks and multiple teams without losing track.
- A naturally responsive individual who views unanswered communications as incomplete work.
- Highly organized and adept at establishing systems and structure.
- Comfortable operating in ambiguous situations and adept at problem-solving in a dynamic environment.
- Quick learner with new tools and technologies.
- Previous experience or familiarity with payroll, bookkeeping, fintech, or financial operations is considered a plus.
