About the Role
We are seeking a dedicated Onboarding Specialist to support a U.S.-based behavioral health organization committed to enhancing access to quality mental healthcare. This is a non-clinical, operations-centric position focused on ensuring a smooth and positive onboarding journey for newly hired healthcare providers. You will be the main point of contact for providers from the moment they accept an offer, managing all administrative preparations before their first day, guiding them through structured onboarding sessions, and ensuring they are fully prepared and confident to begin patient care. This role is best suited for individuals with excellent verbal communication abilities, meticulous attention to detail, and the capacity to manage numerous onboarding processes concurrently in a completely remote setting.
Responsibilities
- Initiate contact with newly hired providers to arrange onboarding calls and manage all preparatory coordination.
- Execute all pre-onboarding administrative duties, including the setup of provider email accounts, phone lines, Electronic Health Record (EHR) access, and payroll registration before their official start date.
- Maintain and manage a comprehensive onboarding tracker, likely using Airtable, ensuring all tasks are updated in real-time and deadlines are strictly adhered to.
- Conduct live onboarding sessions, typically lasting three hours, guiding providers through company systems, EHR platforms, operational guidelines, and clinical processes using a detailed checklist.
- Establish provider profiles on relevant platforms, such as Psychology Today, in advance of their start date, considering necessary lead times and verification procedures.
- Facilitate introductions between new providers, their supervisors, and colleagues, distribute necessary supervision contracts, and oversee the completion of any required follow-up documentation.
- Act as the primary ongoing contact for providers, addressing their questions regarding tools, technical issues, and operational procedures after their initial onboarding.
Qualifications
- Possess 3 to 6 years of experience in onboarding, provider relations, healthcare operations, or a similar coordination role.
- Demonstrate outstanding verbal communication skills, with the ability to lead structured, extended calls in a clear and engaging manner.
- Exhibit strong written English communication proficiency, capable of drafting professional emails and documentation.
- Be highly organized and deadline-oriented, with a proven ability to manage multiple onboarding timelines simultaneously while ensuring all pre-start setup tasks are completed.
- Be comfortable working autonomously in a fully remote, asynchronous-friendly work environment.
- Availability to work hours aligned with Central Time (U.S.).
- Proficiency in using Airtable, Google Workspace, and Electronic Health Record (EHR)/Electronic Medical Record (EMR) systems.
- Prior familiarity with healthcare provider workflows, online directory listings (like Psychology Today), and credentialing concepts is highly advantageous.
