About the role
This position sits at the front line of the office experience. As the Workplace Experience Specialist, you will be the welcoming presence for visitors and colleagues and the person responsible for keeping daily workplace operations on track. It is a fully on-site role, with a Monday-to-Friday office presence required every day because being physically in the workplace is essential to delivering a strong employee experience.
Key responsibilities
Your work will span front-of-house service, workplace coordination, and administrative support.
Front-of-house and employee experience
- Welcome visitors warmly and professionally, helping create a positive first impression of the company.
- Receive messages, deliveries, and mail, then promptly route them to the appropriate people.
- Support employee engagement by helping organize company-wide events and workplace activities.
- Respond to colleague queries and requests, directing them to the correct person or process efficiently.
- Assist with Day 1 onboarding for new hires and keep the new-hire kit inventory organized.
Facilities and vendor management
- Administer office access passes and lockers, including records for issuance, tracking, and termination.
- Serve as the coordinator between the company and building management, including support for office move-related activities.
- Manage external vendors such as office cleaning providers to help maintain a clean and orderly workplace.
- Oversee office physical inventory and facilities, and arrange repairs or maintenance when needed.
- Provide ongoing administrative and operational support to ensure office infrastructure runs without interruption.
Administrative support
- Handle administrative tasks such as contract administration, vendor invoicing, payment processing, and maintenance of employee-experience databases.
- Carry out additional duties as assigned from time to time.

The ideal candidate is service-oriented, adaptable, and confident working in a busy workplace environment. You should be comfortable taking ownership, solving problems, and managing multiple priorities with care and accuracy.
Additional information
This role is based in Singapore and requires daily on-site attendance from Monday to Friday. Working on occasional weekends may be required, and time off in lieu will be provided accordingly. Preference will be given to candidates available to begin in July 2026 or those who can join after a short notice period.
