Job Overview

Kraft Heinz is seeking a permanent Office Manager & Executive Assistant to join our New Zealand team in Auckland. Key Responsibilities

  • Provide comprehensive administrative support to the Managing Director of New Zealand, including managing their diary, scheduling appointments, arranging travel, and processing expenses.
  • Serve as the primary point of contact for visitors, offering general assistance and ensuring a welcoming reception.
  • Manage office operations, including overseeing maintenance, mail, shipping, supplies, equipment, and bill payments.
  • Organize and set up the office space for important company events and town hall meetings.
  • Coordinate office layout changes for new and existing employees, managing security passes, parking, and locker allocations.
  • Maintain the tidiness and organization of meeting rooms and the general office environment.
  • Process and distribute incoming mail efficiently.
  • Liaise with building management on various operational matters.
  • Act as a secondary contact for office-related services such as maintenance, supplies, and equipment.
  • Maintain an accurate electronic database of cardholders.
  • Ensure timely payment of invoices to building suppliers and external vendors.
  • Manage daily upkeep of the kitchen and coffee machine, including ordering supplies.
  • Oversee printer servicing and stationery orders.
  • Assist with the onboarding of new employees by preparing security passes and ensuring workstation readiness.
  • Support the organization of cultural activities, promoting office diversity and volunteering initiatives.
  • Provide general administrative support as needed.
  • Undertake ad hoc tasks as required.
  • Adhere to all Kraft Heinz policies regarding food safety, environmental, health, and safety, and ethical conduct.

What You'll Bring

  • Previous experience in an office management or administrative support role.
  • Demonstrated ability to effectively manage a medium to large open-plan office.
  • Capacity to perform well under pressure in a fast-paced setting.
  • A proactive attitude, willing to contribute to the smooth operation of the office.
  • Skill in building strong relationships with both internal and external stakeholders across all organizational levels.
  • A problem-solving mindset with a focus on continuous improvement and a positive, can-do approach.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
  • Experience with various internal and external systems, including booking, expense, invoicing, and vendor portals.
