An established organization in Dubai is seeking a seasoned Office Manager & Executive Assistant to keep the office running smoothly and provide dependable, high-trust support to senior leadership.

What the role covers
This position combines hands-on office administration with executive support. The successful candidate will be responsible for maintaining an efficient workplace, coordinating vendors and administrative processes, and handling scheduling, travel, and communication support for leadership.
Office management duties
- Keep the office functioning day to day by managing supplies, facilities, vendors, and overall workplace upkeep.
- Track the office budget, process expenses and invoices, and maintain coordination with vendors and landlords.
- Handle PRO-related matters, visa applications, trade license renewals, and other government administration tasks.
Executive support duties
- Organize senior management calendars, meetings, schedules, and travel plans.
- Set up meetings, prepare agendas, and ensure action points are followed through.
- Draft, organize, and manage correspondence, presentations, and internal communication materials.
Required profile
The ideal candidate should bring 3–5+ years of experience in Office Management, Executive Assistance, or a similar role, preferably in investment firms, financial services, or a related corporate or consultancy setting. A bachelor’s degree is preferred, particularly in Business Administration or a related discipline. Strong written and spoken English is essential, along with excellent organization, multitasking ability, and comfort handling overlapping priorities. Proficiency with MS Office and common scheduling and travel-coordination tools is also required.
