Exergy3 is focused on a major challenge of our time: how to decarbonize industrial processes while still keeping economic practicality in view. Its answer is scalable, efficient, and cost-effective: ultra-high-temperature thermal batteries.

Role Overview
Exergy3 is looking for a highly organized and proactive office leader to run the day-to-day operations of the Munich office and act as the main coordination point for local business activity. This is a key administrative leadership role at an important site within a growing international company, extending well beyond standard office administration.
The person in this role will take ownership of office operations, support local leadership, coordinate German business activities, manage vendors and facilities, and help maintain a smooth, professional workplace. They will serve as a trusted local contact and work closely with global teams.
No two weeks will look the same. The role requires balancing strategic priorities with hands-on operational work and using initiative to spot improvements as the business grows.
Key Responsibilities
- Serve as the local point of contact for HR, finance, IT, and external partners.
- Assist with research, analysis, and preparation for strategic initiatives, including marketing and events.
- Track priorities and projects across the European team.
- Support ad hoc projects connected to operations, growth, or partnerships.
- Spot issues early and help drive practical solutions.
- Ensure the Munich office runs smoothly on a day-to-day basis.
- Coordinate office setup, supplies, service providers, and facilities.
- Help onboard new team members in Germany.
- Act as the contact person for Exergy3 staff visiting the office.
Requirements
- Fluent German and English, with strong written and verbal communication skills and a consistently professional manner.
- Proven background as an office manager, executive assistant, or in a similar role in a fast-paced environment.
- Confident use of Microsoft 365 tools, including Word, Outlook, Excel, PowerPoint, and MS Teams.
- Exceptional accuracy and attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Experience coordinating work across different functions or departments.
- Comfortable working with senior leaders.
- Proactive, adaptable, and resilient.
- Ability to bring structure to the ambiguity of a startup setting.

- The role is structured as a 35-hour contract. During busier periods, flexibility may be needed and will be offset accordingly.
