Role Summary
The Office Manager will be responsible for keeping the company’s administrative and operational backbone organized and efficient. This position involves handling day-to-day office administration, maintaining documentation, coordinating schedules, supporting leadership, and helping improve internal systems. It is well suited to someone who enjoys bringing structure to processes, managing details carefully, and working cross-functionally in a remote setting.
In this role, you will contribute directly to the operational stability of a growing business in a specialized, fast-moving industry where organization and communication matter to project success.
Key Responsibilities
- Manage and support everyday administrative activities across the organization.
- Handle calendars, internal meeting coordination, and scheduling across the business.
- Keep company records, contracts, reports, and other internal files organized and up to date.
- Assist with finance-adjacent administrative work such as invoicing, expense monitoring, and vendor coordination.
- Support employee onboarding paperwork and related administrative processes.
- Maintain digital filing structures so important operational documents are easy to locate and accurate.
- Contribute ideas and support efforts to improve workflows and administrative systems as the company expands.
- Coordinate subscriptions, outside vendors, and other administrative services.
- Help leadership with reporting, scheduling, and special assignments as needed.
- Promote clear communication and alignment between departments.
Required Qualifications
- At least 3 years of experience in office management, business administration, operations support, or a similar role.
- Strong organization and time management abilities, along with careful attention to detail.
- Excellent written and spoken communication skills.
- Ability to juggle multiple priorities while staying accurate and professional.
- Comfort using Microsoft Office, Google Workspace, and cloud-based collaboration tools.
- Sound judgment, effective problem-solving, and a proactive work style.
- Ability to work independently and handle sensitive information confidentially.
Preferred Background
- Experience in media production, creative services, logistics, events, or project-driven businesses.
- Familiarity with bookkeeping support, invoicing, expense reconciliation, or operational reporting.
- Experience supporting remote or distributed teams.
- Comfort working in environments with changing priorities and tight deadlines.
- Interest in media, production technology, aviation, or emerging technologies.
Compensation
The annual salary for this position is between $72,000 and $95,000, with additional performance-based bonus opportunities. Compensation may also be reviewed based on merit, and employees are eligible for a referral bonus program.
