Role overview
Interparfums Luxury Brands is hiring an Office & Front Desk Administrator to support the day-to-day running of its corporate office in New York. This role combines reception, office coordination, and administrative support, helping ensure a polished experience for visitors and efficient internal operations.
Front desk and visitor handling
- Greet visitors, clients, and employees in a professional and welcoming way.
- Answer and route incoming calls, or take messages when needed.
- Keep the reception area organized, presentable, and guest-friendly at all times.
Administrative support
- Assist executives and teams with scheduling, calendar management, and meeting coordination.
- Prepare, edit, and organize documents, reports, and presentations.
- Receive and distribute incoming mail, parcels, and courier deliveries; manage outbound dispatches as needed.
Office coordination
- Track office supplies, inventory, and equipment so daily needs are met without interruption.
- Help maintain a clean, orderly workspace and coordinate with vendors for repairs or maintenance.
Events and meetings
- Support the planning and execution of internal meetings, company events, and conferences.
- Coordinate catering, room setup, and event logistics.
Vendor and facilities support
- Work with external service providers, contractors, and vendors to keep office operations running smoothly.
- Help manage vendor relationships and contract-related coordination.
Records and data handling
- Maintain employee files, contact lists, and office documentation.
- Handle confidential information carefully and maintain data security.
Safety and workplace support
- Monitor office access and help support the safety of employees and guests.
- Follow and apply office safety procedures and emergency protocols.
Team collaboration
- Partner with coworkers across departments and support projects or tasks as needed.
- Act as a communication point between employees and different teams.
Qualifications
The company prefers candidates with a bachelor’s degree or comparable experience. Prior work in office administration and front desk operations is expected. Strong organization, multitasking ability, and time management are important, along with excellent communication and interpersonal skills. Candidates should be comfortable using Microsoft Office and office management tools, and must demonstrate professionalism, discretion, problem-solving ability, and a proactive approach.
