Role overview
We are seeking a highly organized Office Administrator to keep day-to-day workplace operations running smoothly and efficiently. The role involves coordinating meetings, supporting communication across departments, and handling a range of administrative and operational tasks in a professional, timely way.
What you will handle
- Oversee the end-to-end process for overseas office leasing, including negotiations, renewals, contract completion, and ongoing lease administration to support uninterrupted operations and compliance.
- Draft and review monthly, quarterly, and yearly financial reports, and assist with budget planning each quarter, as well as monitoring spending and controlling costs.
- Drive workspace planning for the Singapore office, covering seating arrangements, office furniture sourcing, relocation activities, and routine facilities support to maintain a productive and comfortable environment.
- Manage employee access cards, office entry control, and office supply distribution to ensure smooth daily operations and a good employee experience.
- Handle the company seal/chop according to internal rules and compliance standards.
- Deliver broad administrative support to the international business team and coordinate operational matters between headquarters and the Singapore office for better communication and resource sharing.
- Assist with corporate culture programs and employee engagement events, manage team-building budgets, support employee welfare activities, and take on additional administrative duties assigned by management.
Skills and qualifications
- Strong command of Microsoft Office tools such as Outlook, Excel, Word, and PowerPoint.
- Clear written and spoken communication skills.
- Ability to juggle multiple tasks, stay organized, and prioritize effectively.
- Fluency in English and Chinese, with the ability to communicate with Chinese stakeholders and suppliers when needed.
