Role overview
This is a permanent, full-time office administration position based in Dublin, County Dublin, Ireland. The role supports a civil and structural engineering business involved in commercial, residential, education, healthcare, and infrastructure work.
What you will do
- Deliver day-to-day administrative assistance to engineering and management teams.
- Handle front desk activity, incoming calls, emails, and general business correspondence.
- Organise meetings, travel, and calendars.
- Keep office stationery, equipment, and supplier relationships in good order.
- Support new starter onboarding and routine HR administration.
- Help the finance function with invoicing, expense processing, and document storage.
- Maintain project files and records through internal systems.
- Make sure drawings, reports, and technical files are stored correctly, versioned properly, and easy to access.
- Monitor document revisions and keep logs and registers up to date.
- Issue and archive project documents in line with internal procedures.
- Work with engineers, architects, and outside parties regarding document submissions.
- Follow QA requirements and document control standards.
- Assist with project close-out packs and archiving.
Requirements
- Prior administrative experience, ideally in construction or engineering.
- Proven background in document control or records management.
- Good working knowledge of Microsoft Word, Excel, and Outlook.
- Strong planning, coordination, and time management abilities.
- Careful approach with a strong focus on accuracy.
- Confident written and verbal communication skills.
- Experience in an engineering, construction, or consultancy setting.
- Familiarity with document control platforms such as SharePoint, Aconex, or Viewpoint.
- Understanding of technical drawings and project delivery workflows.
- Knowledge of QA and ISO documentation practices.
