Role overview
This Office Administrative Assistant role is a hands-on support position for a home health environment. The person in this role will help keep office operations running smoothly by coordinating between clinical staff, field clinicians, patients, and outside healthcare partners. The position calls for someone highly organized, attentive to detail, comfortable working with confidential health information, and committed to compliance and efficiency.
The workplace emphasizes teamwork, empathy, and quality service to help patients and families feel supported during recovery.
This is a non-exempt position with pay of $22 to $25 per hour.
Responsibilities
- Keep patient medical records orderly and protected while following HIPAA requirements.
- Process, scan, index, and confirm clinical documents in the electronic health record system.
- Respond to approved requests for medical records in line with agency procedures.
- Track medical and office inventory, coordinate supply requests from clinicians, and handle incoming shipments.
- Manage a busy fax queue, route physician orders, and distribute documents as needed.
- Answer multi-line calls, welcome visitors, and direct questions to the right person or team.
- Carry out data entry tasks, update patient details, and support scheduling and tracking logs.
- Keep the office space neat, professional, and well organized.
Requirements
- 1 to 2 years of experience in administrative or clerical work, ideally in home health, hospice, or a medical office.
- High school diploma or an equivalent qualification is required; an associate degree or administrative certification is preferred.
- Working knowledge of HIPAA rules and patient privacy standards.
- Comfort using Microsoft Office, common office equipment, and electronic health record systems.
- Strong organization, communication, multitasking, and collaboration abilities.
- Ability to remain seated or standing for long stretches.
- Frequent computer and office equipment use is expected.
- Ability to occasionally move or lift boxes weighing up to 25 pounds.
