Role overview
This position combines office administration with human resources coordination in a Singapore-based workplace. The person in this role will help set up and run core office processes, support employees with HR-related queries, and keep operations moving smoothly in a lean, fast-changing environment.
Key responsibilities
- Handle the daily running of the office, including workplace facilities, vendor coordination, supplies management, travel arrangements, and general administration.
- Support procurement activities, monitor expenses, manage petty cash, and assist with local finance coordination.
- Work closely with building management, external vendors, and relevant authorities to maintain compliance with MOM workplace requirements.
- Plan and support employee engagement activities such as team events, offsites, and initiatives that strengthen office culture.
- Help reinforce the organization’s values and contribute to a collaborative, positive workplace atmosphere.
- Act as the main HR point of contact for employees, offering guidance on policies, benefits, and other workplace concerns.
Current challenges in the role
- Establishing the Singapore office from the ground up with minimal existing administrative, HR, and vendor systems in place.
- Managing immigration, relocation, and work pass requirements for a globally hired engineering team.
- Creating a smooth onboarding and employee experience without a dedicated HR presence onsite.
- Balancing people operations and office administration duties in a small-team setup.
- Keeping up with changing MOM and employment compliance obligations as the business expands.
What the company is looking for
- A bachelor’s degree in Business Administration, Human Resources, or a related discipline; an MBA is preferred.
- 5 to 8 years of experience in office administration and/or HR operations, ideally within technology, engineering, or startup settings.
- A broad, hands-on approach with the ability to independently manage both HR and administrative work.
- Strong organization skills, flexibility, and the ability to prioritize effectively in a dynamic environment.
- Solid communication and collaboration abilities, especially when working with distributed global teams.
