University Hospital Southampton NHS Foundation Trust is offering an opportunity for a Medical Staffing Coordinator to support the smooth operation of care group medical staffing. The role is centered on keeping administration well organised and aligned with the needs of the care group.
Main purpose of the role
You will help make sure all medical shifts across the care group are covered promptly. This supports safe service delivery, protects patient safety, and helps reduce expensive last-minute cover arrangements.
The post reports to the Care Group Business Manager and works closely with medical leads, the care group management team, and central trust teams such as Medical HR.
Role details
Within Neurosciences, the Medical Staffing Coordinator manages and maintains rotas for doctors and other medical staff across the department. The focus is on medical workforce planning and administration, not nursing rosters.
Core duties include handling rota adjustments, annual leave, study leave, and on-call arrangements, while also supporting compliance with working time rules and staffing policies. The role also involves working with clinical leads, consultants, trainees, and workforce colleagues to fill staffing gaps, plan rotas, and keep workforce records accurate.

Qualifications, knowledge and experience
Applicants should have a Level 4 Diploma or equivalent experience. You should also have a solid understanding of administrative procedures, including non-routine work, and detailed knowledge of office processes.
Strong prior experience in a secretarial or administrative assistant role within a customer-focused setting is required, along with experience handling complex staff rotas. A clear understanding of confidentiality and data protection is also essential.
Desirable experience includes previous work in the NHS, familiarity with relevant hospital systems such as HealthRoster, ESR, TRAC, and eRota, and experience in recruitment.
