Role Summary

The Medical Scheduler will handle appointment booking for patients by phone or in person in a prompt and organized way. The role also involves welcoming and guiding patients, sales representatives, and visitors; updating eligibility and phone details; completing registration; collecting insurance and identification documents; securing referrals and authorizations; and taking copayments or time-of-service amounts at each visit when applicable. The position also includes directing patients with outstanding or flagged accounts to the business office, posting payments accurately in the appropriate system, using the correct card-processing equipment, and working hold claims for the assigned location each day. This is an on-site position only; remote work is not available.

Responsibilities

  • Arrange patient appointments over the phone or face to face in a timely, efficient manner.
  • Welcome and direct patients, visitors, and salespeople as they arrive.
  • Review and update patient eligibility, contact information, and registration details.
  • Collect copies of insurance cards and driver’s licenses.
  • Obtain referrals and prior authorizations as needed.
  • Collect copayments at the time of service; if no copayment applies, collect the required time-of-service amount at each visit.
  • Refer patients with overdue or flagged accounts to the business office.
  • Post payments correctly in the relevant system and use the proper credit card machine.
  • Work hold claims for the assigned location on a daily basis.
  • Support department efficiency through quality improvement efforts.
  • Take direction from the Supervisor/Coordinator.

Requirements

  • High school diploma or an equivalent credential.
  • At least 1.5 years of related experience and/or training, or an equivalent mix of education and experience.
  • Working knowledge of insurance processes.
  • Valid driver’s license is required when driving any vehicle for work-related purposes.
  • Helpful to have medical terminology knowledge.
  • Basic telephone and computer proficiency.
  • Strong customer service abilities.
  • Ability to stay organized, prioritize work, and perform well in a busy environment where patient care remains the top priority.
  • All offers are conditional upon successful completion of pre-employment screening, including a criminal background check, drug screening, and health and immunizations screening.
